Writing Job Descriptions

The following Job Descriptions are generic in design. They may not describe or include all the functions exactly as they are carried out in your company. They are designed to provide a general description of each job as described by the many landscape companies we talked to. You should feel free to use these descriptions as a general guideline that you can adapt to fit the work the way that you want to do it. Job Descriptions have many purposes. Those included herein are designed to be most helpful to the small to average size landscape company but will be useful to larger companies as well. They are functional in nature. That is, they describe what the people with these job titles generally do and how they do it.

ESSENTIAL FUNCTIONS
Each Job Description includes a section entitled “Essential Functions” (ADA). This is required by the Americans With Disabilities Act (ADA) and is designed to identify those non-transferable basic abilities needed for these jobs as it relates to potential employees with handicaps.

    Job duties and responsibilities of the Sales / Design person include:

  • Makes job contacts working from assigned Sales Call Forms. Calls prospects to determine interest, provide general information, and set up appointments.
  • Determines customer needs.
  • Inspects the site, reviews customer ideas and design alternatives, discusses budget considerations, and defines design objectives.
  • Develops proposed designs. Utilizes information concerning customer needs, product availability and suitability, and design principles to create salable designs and complete scale drawings.
  • Develops cost estimates. Uses published price information for varieties and sizes of product proposed along with labor cost estimates if installation is considered.
  • Reviews design and cost estimates with customers.
  • Modifies plans as appropriate to meet customer desires, and finalizes sales agreements.
  • Meets with landscape foreman to review designs on projects for installation.
  • Visits sites to review installation progress or assist in staking in special situation.
  • Makes follow-up contacts with customers to insure satisfaction.
  • Maintains reference files, assists other designers with problems as requested, reviews general progress of design work, assists manager in planning and other work.

Job duties and responsibilities of the DEDICATED Sales person include:

  • Makes job contacts working from assigned Sales Call Forms. Calls prospects to determine interest, provide general information, and set up appointments.
  • Determines customer needs.
  • Inspects the site, reviews customer ideas and design alternatives, discusses budget considerations, and defines design objectives.
  • Modifies plans as appropriate to meet customer desires, and finalizes sales agreements.
  • Makes follow-up contacts with customers to insure satisfaction.

ESSENTIAL FUNCTIONS (ADA)

The incumbent must be:

  • Physically, emotionally and professionally capable of researching referral sources, visiting prospects and clients and convincing them to purchase products and services.
  • Creatively and professionally capable of creating desirable landscape designs including the necessary scale drawings.
  • Physically and emotionally capable of working with Managers, Supervisors and other Designers in the planning and performing of the necessary work, including installation.

Job duties and responsibilities include:

  • Prepare bids.
  • Review and interpret plans & Specs to prepare bids.
  • Solicit subcontractor quotes as needed for various bids.
  • Determine costs for labor, equipment and hard goods.
  • Coordinate all other green goods pricing with Purchasing Manager.
  • Attend client meetings.
  • Order Bid Bonds as needed.
  • Prepare weekly estimating / design calendar.
  • Review bids with manager for approval and double check.
  • Provide budgets for clients as needed.
  • Assist in pre construction meetings with information.
  • Review information with superintendent or Project Manager for pricing.
  • Delegate preparation and submittal of final pricing to clients.
  • Negotiate pricing with clients on change orders as needed.
  • Review Change Orders for accuracy when received.
  • Prepare budgets for change orders.
  • Provide all pertinent information to sOffice Manager when writing subcontracts.
  • Review subcontracts prior to being sent out for accuracy.

  • Prepare bid status sheet weekly.
  • Submit bid files to Office Manager when they are awarded.
  • Prepare budgets for projects provide to Office Manager.
  • Move bid files to dead file when job is lost.

ESSENTIAL FUNCTIONS (ADA)

The incumbent must be:

  • Capable of performing complex calculations to identify the time, costs and profit margins of proposed landscape projects.
  • Capable of understanding and communicating technical and complex information to and from non-technical individuals.

Operations Manager

Job duties and responsibilities include:

    • Responsible for scheduling and successful implementation of jobs.
    • Review Foreman’s daily plan to insure successful job execution.
    • Schedule labor and equipment to foreman minimum 1-day prior to actual work.
    • Maintain up to date schedule on schedule board.
    • Supervise daily tracking and posting of job hours to budgeted hours and report to design sales team, reasons for jobs running over and how this can be corrected.
    • Confirm in writing all agreements, change orders, decisions, assignments and follow up.
    • Review Foreman’s worksheets authenticating accuracy of materials and labor used and turn in to Admin. Dept.
    • Conduct walkthrough, communicate warranty and care instructions, pass customer information to Customer Service for post job follow up.
    • Schedule replacements within 10 days of materials being available or as agreed by customer.
    • Review jobs with Design-Sales Manager prior to final bid to insure successful project installations.
    • Responsible for hiring crew and lead people and assist in Foreman and Foreman-Trainee hiring.
    • Complete new hire job packets prior to employee start.
    • Responsible for training of Foreman and crews through preplanned training events.
    • Responsible for personnel reviews from Foreman level down.
    • Make sure employees understand and adhere to company policy, procedures and goals.
    • Responsible for safety oversight of the Department and determining who is qualified to drive and operate equipment and vehicles.
    • Prepare and review Workman’s Compensation forms as they occur and turn in within 24 hours.
    • Review plant material availability and co-ordinate deliveries 1 day prior to actual need.
    • Responsible for general maintenance and appearance of landscape trucks and equipment.

Project Manager

Job duties and responsibilities include:

  • Review and be familiar with the plans and specifications for each project assigned to them.
  • Communicate and correspond with client representatives on all aspects of projects field operation.
  • oordinate flow of project. Know what areas are being worked now and which are next to be ready.
  • Plan all necessary manpower and request same from Operations Manager.
  • Coordinate and review orders from foremen for all materials.
  • Place orders with Purchasing Agent or Yard Manager.
  • Place all orders with correct person or company for owner-supplied items on projects.
  • Review all daily time sheets for accuracy.
  • Coordinate with estimator on pricing of all change order work.
  • Be responsible for having extra work tickets signed and submitted for pricing to Operations Manager.
  • Coordinate with Designer / Sales for all inspections required for project — including layout review, interim inspections, substantial completion inspection and final completion inspection.
  • Coordinate all subcontractors on the project.
  • Review all subcontractor billings monthly for accuracy.
  • Provide all quantities and percentages complete required for monthly billing to office manager in advance of billing deadline.
  • Provide two-week schedule for each project on a weekly basis.
  • Be aware of and be responsible for labor budget on project.
  • Conduct on-site job interviews as needed and hire employees as approved by Operations Manager.
  • Complete and submit daily reports to client as required.

Job duties and responsibilities include:

  • Responsible for successful implementation of jobs though good planning and execution of job through crew assigned to you.
  • Assist teams assigned in planning and execution of job and provide production manager written schedule weekly or as agreed.
  • Assist in hiring and training of Foreman and crew; also document any reprimands and/or terminations as outlined in the company policy.
  • Supervise safe and effective equipment operation on job site and facility.
  • Daily communication with customers/contractors about schedule and job execution.
  • Coordinate timely delivery of materials 1-3 days minimum notice.
  • Assist production manager in scheduling of labor and equipment on daily basis.
  • Confirm in writing all agreements, change orders, decisions assignments and follow up, — people tend to forget or misinterpret verbal instructions or requests.
  • Responsible for control of material, labor and equipment cost, and associated indirect cost, unapplied, warranty, small tools, etc.
  • Review foreman’s worksheets authenticating accuracy of materials, labor, and equipment used.
  • Double check with equipment and vehicle operators that all fluid levels and lubrication procedures are upheld.
  • Review Workman’s Comp. forms as they occur and turn in within 24 hours of the accident.
  • Assist other Managers in general upkeep and cleanliness of our facility.
  • Check vehicles daily for clean cabs, working lights, etc.
  • Check trailers weekly for working lights, lens covers, and connectors.
  • Assist Foreman in daily loading of jobs.
  • Assist Production Manager in job reviews of Foreman and crew assigned to you.

Purchaser

Job duties and responsibilities include:

  • Place orders for all plant materials for projects.
  • Place orders for all soils, rock, fabrics etc. for projects.
  • Be responsible for coordinating all pick-ups of material with general superintendent.
  • Arrange delivery of all material to be delivered by vendors.
  • Be responsible for tracking quantities used for each project and not exceeding quantities bid without extra work authorization.
  • Be responsible for tracking material budgets for each project.
  • Review and tag trees and shrubs with landscape architects as needed.
  • Arrange for delivery, pick up and dumping of job site trash bins as requested.
  • Communicate with General Superintendent, Project Managers and Foremen as to delivery schedules, material problems, delays etc.
  • Provide costs for green goods to estimating department as needed.
  • Provide photos, documentation and other information to estimating department as required for bids.
  • Visit nurseries as needed to review availability and quality of plant material.
  • Review all receiving tickets and invoices for proper quantities, pricing etc.
  • Code each item initial and give to Receptionist for processing.
  • Advise and consult with management on buying opportunities that will present the company with exceptional value, savings or advantageous positions on future bids.

ESSENTIAL FUNCTIONS (ADA)

  • Persuasive and capable of negotiating favorable prices, terms and conditions.

Office Manager / Contract Administrator

Job duties and responsibilities include:

  • Responsible for office procedures and administrative personnel within the office.
  • Responsible for tracking of all change orders. Being sure they are received and billed as needed.
  • Processes all contracts, requests and coordinates all insurance certificates, project bonds, etc.
  • Processes all project budgets and sends to corporate office.
  • Approves all office supply orders. Verifies purchasing office material at best cost.
  • Be responsible to see that invoices are complete for processing.
  • Review contracts / corresponds to determine all necessary information for proper invoicing.
  • Receives information from field management to process monthly progress billings and extra work billings.
  • Insures that all billings are in correct format, have all proper documentation attached and are received by clients at correct time for payment.
  • Contacts clients on a regular basis to assure timely payment of all outstanding invoices.
  • Prepares subcontracts as needed.
  • Receives and processes all subcontract billings.
  • Request, receive and distribute lien releases as needed.
  • Coordinate and process all subcontractor insurance certificates.
  • Prepares, organizes and tracks all job files.
  • Prepares, organizes and tracks all subcontractor files.
  • Issue change orders to subcontractors in coordination with change orders received from clients.

Controller / Accountant

Job duties and responsibilities include:

    • Types, sends and files all bills prepared by Contract Administrator.
    • Enters all deposits in checkbook and files bills paid.
    • Books all accounts receivable by the month and as year-to-date.
    • Does all invoice follow-ups including second notices and troubleshooting.
    • Records all invoices received including vendors/suppliers, VISA bills, and petty cash disbursement.
    • Files invoices.
    • Pays quarterly sales taxes.
    • Pays PA Employer Withholding taxes (coupon payment).
    • Pays quarterly payroll taxes.
    • Files W4’s on an annual basis.
    • Tracks benefit payments, holiday and sick pay hours, and all employee eligibility forms.
    • Tracks all quarterly tax payments.
    • Prepares trial balance on a monthly basis.
    • Calculates direct and indirect labor burden on a monthly basis.
    • Prepares year-end financial statement.
    • Assists in bringing on-line new PC based accounting package.
    • Records and tracks fuel consumption and dump truck mileage.
    • Completes and submits quarterly tax return for fuel use.
    • Records and tracks crew labor hours and material use on a per job basis by the week.
    • Costing is recorded without sales tax and with a direct labor overhead included.
    • Computes yearly total of gas and toll receipts.
    • Determines IRS business mileage for company car from trip log.
    • Completes and sends out 1099 Misc. Income Tax Forms to subcontractors.
    • Submits all necessary information to year-end auditors.
    • Types and sends all contractual follow-up maintenance directions with evaluation cards.
    • Files all completed planting plans with attached plant lists as jobs are done.
    • Files updated supplier’s catalogues. Removes and destroys outdated files.
    • Answers phones as needed. Customer service expected.

Personnel / Payroll

Job duties and responsibilities include:

  • Receives and enters all time cards for payroll purposes daily.
  • Processes time card information and review with Accounting and Contract. Administration before finalizing payroll for the week.
  • Manages payroll distribution. Handles paycheck discrepancies.
  • Responsible for recruiting, placing Want Ads, reviewing resumes.
  • Responsible for preparing and maintaining employee personnel files.
  • Responsible for making job offers.
  • Conducts orientation and testing of new recruits.
  • Establishes and manages compensation system with approval from General Manager and Controller.
  • Manages and coordinates performance appraisals, compensation increase requests, grievances, disciplinary actions, terminations, vacation calendar and promotions.
  • Manages employee benefit programs.
  • Manages and enforces safety program from administrative standpoint.
  • Keeps company abreast of changes in labor laws and communicates to the staff.

Administrative Assistant

Job duties and responsibilities include:

  • Answers the telephones. Prepares and distributes messages as necessary.
  • Routes incoming customer inquires for work or uses qualification script to identify customer interest, needs and budget.
  • Collects and distributes mail, faxes and other inter-office information daily.
  • Maintains in house and field phone lists.
  • Maintains project lists and updates customer contact files
  • Receives and distributes all mail daily.
  • Provides general word processing support in overflow situations for proposals, invoicing and other client correspondence.
  • Maintains filing systems throughout the office.
  • Monitors and orders office supplies as required and approved by the Office Manager.

Specific Responsibilities
Assist Foreman in all tasks necessary to complete a job i.e. Load\unload trucks, move material, install landscapes. This may include: installing rock work and gravel, installing all types of plant materials, installing patios and decks, mulching, yard cleanup and pruning, installing waterfalls.

The incumbent must be:

Technician – Class 2

Maintains positive attitude and outlook toward work performed.
Gains acceptance and respect of co-workers.

  1. Field testing by supervisor or others to confirm achievements in sections #2, #3, #5, #6, #7.

  4. Written test on Company policies and procedures.
  5. Has at least 40 hours of education points per year or an average of 4 per month.

ESSENTIAL FUNCTIONS (ADA)

The incumbent must be:

  • Capable of learning and developing skills and mastering functions of a physical and organized nature.
  • Capable of lifting 50# and performing vigorous, physical labor.
